Internal organization platform
Redesign of the internal platform used by We Made Ya’s production teams to manage client orders, voice actor castings and audio/video production workflows.
The project focused on simplifying existing processes, introducing automation and designing an interface adapted to the different team workflows (audio, video, marketing) while remaining immediately understandable for new employees.
The design process was conducted in close collaboration with the platform’s users through workshops, user testing and multiple design iterations.

Identifying the problems
The We Made Ya agency already had an internal platform for managing orders, castings, and audio and video productions.
However, over time, the tool had become difficult to use. The teams faced several major problems: confusing navigation, too many steps to perform certain actions, and a lack of automation for repetitive tasks.
The platform was also difficult for newcomers to understand. The agency regularly hosted interns for short missions, and the teams wasted time explaining how the tool worked.
The goal of the project was therefore to rethink the experience in order to simplify workflows, automate certain tasks, and make the platform immediately understandable for new users.

User research
Several research workshops were conducted with the different departments of the agency: sound, video, and marketing.
These sessions helped to understand how teams actually used the platform in their daily work.
Sound engineers being the most intensive users of the tool, particular attention was paid to their workflows.
An important insight concerned the use in split screen: most sound engineers use the platform alongside their audio production software (DAW), with a display split approximately 50/50 on their screen.
This constraint directly influenced the design of the interface to ensure optimal readability in a width of about 950px.

The workshops also highlighted a strong need for automation in production processes, particularly for sending briefs to actors, notifications to clients, and follow-ups in case of delays.

Exploring and test the solutions

Based on the insights from the workshops, several wireframes were designed to simplify the main workflows of the platform.
These proposals were tested directly with users during regular testing sessions.
These tests allowed for the identification of several areas for improvement and gradually adjusting the experience.

For example, the order creation process was rethought in the form of a compose window, allowing users to create or modify an order while keeping access to the rest of the platform.
These cycles of design, testing, and iterations have gradually refined the pathways to ensure a smooth experience for production teams.

Designing the interface
Once the workflows were validated by users, the final interface was designed in close collaboration with the development team.

The design system is mainly based on Radix UI, complemented by Tailwind when certain specific components were necessary.
Particular attention has been paid to accessibility and readability:
light mode and dark mode
optimized contrasts
respect for visual priority markers already used in the old tool


These markers have intentionally been retained and positioned in the same place so as not to disturb users accustomed to the platform.
A two-month transition period has also been established to facilitate the adoption of the new interface.

Outcomes
The new internal platform is now used by all the teams in the agency.
